Special Events Administrative Assistant, Part-Time – 15-20 hrs. Week (san leandro)

POSITION DESCRIPTION
Girls Incorporated of Alameda County seeks a part-time Development Special Events Administrative Assistant to assist the Events Manager with all events and activities. This is a position available immediately in an established fundraising department. Requiring a high degree of organization, a sharp eye for detail, and an enthusiastic commitment to producing top-notch functions, this position allows for exposure to a diverse array of events and professional development in fundraising and events production.
QUALIFICATIONS AND SKILLS
• Requires expert computer skills, especially MS Office: Word, Mail Merge, Excel and PowerPoint
• Top notch administrative skills: typing, filing, organization, creating nametags, conducting internet research, managing databases and taking direction from more than one manager.
• Due to the nature of events, must have the ability to lift 25 pounds and be able to assist with load-in and load-out at off site events
• Must be able to work some flexible hours, including full-time (40 hours) four weeks prior to major events in April and September and selected evenings and weekends
• Able to work independently under pressure and handle multiple projects simultaneously
• Excellent interpersonal skills, detail oriented, self-motivated, dependable
• Ability to maintain positive attitude and deal diplomatically and effectively with a variety of individuals
• Desktop publishing experience, including MS Publisher preferred. Adobe Photoshop, Illustrator and InDesign highly desirable
• Requires strong command of the English language and excellent verbal/telephone and written communication skills
• Event experience preferred
• BA/BS, event certification, or equivalent experience
POSITION ACCOUNTABILITIES
This position combines both administrative support and physical participation in day-of and pre-event preparations and logistics.
Women of Taste – assist the Special Events Manager with overall planning of food and wine tasting event presented annually in September at Oakland Museum for 1,200 guests.
• Assist Manager with all administrative details concerning the oversight of 7 committees: silent auction, beverages, volunteers, decor, public relations, logistics, chefs
• Support Manager by maintaining records and organizing storage of supplies
• Assist Manager with vendor contracts, obtaining city permits and paying fees, purchasing supplies and decor preparation
• Help facilitate transfer of goods to museum, help lead vendors and volunteers the day of the event
• Help close the event, conduct all necessary follow-up
For the following other events, assist manager with administrative tasks related to logistics, guests, invitations, printed materials, name badges, day-of support, etc.
Strong, Smart and Bold Luncheon (300 guests, April)
Donor Receptions (20-30 guests per event, 2 to 3 events per year)
Advisory Board Dinners (40-50 guests per event, fall and spring)
Program Tours (1-2 per year, seasonal, determined by program schedules, 15 guests)
BENEFITS & COMPENSATION
Partial benefits are offered including vacation, sick leave, holidays and partial medical.
Compensation: $15 – $16 per hour DOE.
ADDITIONAL REQUIREMENTS
Employment is contingent upon a good driving record and a California driver’s license. Position requires some use of personal vehicle. Applicants must be comfortable driving a 15 foot truck or 10 passenger van and have the ability to lift 25 lbs.
